CLIENT EXPERIENCE COORDINATOR

Part-Time Front Desk, Administrative & Office Support Role

About Body Harmony

Body Harmony of Arlington is a growing wellness practice offering chiropractic care, acupuncture, and massage therapy under one roof.


We believe healing happens best in a warm, supportive environment where the whole person is cared for. From the moment someone contacts our office until they walk back out the door, we want them to feel welcomed, understood, and genuinely supported.


Creating that experience takes more than excellent front-desk service. It also requires a clean, organized, well-stocked office where treatment rooms are ready, laundry stays moving, and the entire team can focus on providing excellent care.


As our practice continues to grow, we are looking for dependable, warm, organized people who are equally comfortable helping clients, completing administrative work, doing laundry, and handling the routine cleaning needed to keep a busy wellness practice running smoothly.


Position Details

  • Position: Client Experience Coordinator
  • Type: Part-time, in-person
  • Classification: 1099 independent contractor
  • Pay: $14–$17 per hour, based on experience
  • Openings: Two positions available
  • Applicants must be at least 18 years old
  • Applicants must be authorized to work in the United States


Available Schedules

We are hiring for two different shift schedules. Candidates should ideally be available for either the morning schedule or the evening schedule below.


Morning Schedule

  • Tuesday: 9:00 AM–3:00 PM
  • Thursday: 9:00 AM–3:00 PM
  • Friday: 9:00 AM–3:00 PM
  • Saturday: 9:00 AM–3:00 PM

Evening Schedule

  • Monday: 3:00 PM–8:00 PM
  • Tuesday: 3:00 PM–8:00 PM
  • Friday: 3:00 PM–8:00 PM


*Tuesday, Thursday, and Friday hours have some flexibility and can be discussed during the interview.


About the Role

The Client Experience Coordinator is both a welcoming presence at the front desk and an important part of the administrative and operational support behind the practice.


You will work closely with our Operations Manager to help clients feel cared for, keep communication and scheduling organized, and maintain a clean, welcoming, smoothly functioning office.

This is a hands-on position. In addition to front-desk and administrative responsibilities, laundry and basic office cleaning are significant, ongoing parts of the job. Team members are expected to notice what needs to be done and keep these responsibilities moving throughout the shift rather than waiting until the end of the day.


This role is a good fit for someone who understands that an exceptional client experience includes both the visible interaction at the front desk and the behind-the-scenes work that keeps treatment rooms, linens, shared spaces, and supplies ready for each client.


Client Experience and Administrative Responsibilities

  • Greet clients and help them feel comfortable, welcomed, and cared for
  • Schedule and confirm appointments by phone, email, text, and in person
  • Respond professionally to questions from current and prospective clients
  • Monitor and complete patient communication outside of front-desk interactions, including emails, texts, voicemails, and other messages
  • Support a smooth and attentive check-in and check-out experience
  • Help maintain the flow of the clinic during busy periods
  • Keep the front desk and administrative areas organized
  • Assist providers and team members with real-time clinic needs
  • Complete assigned daily administrative and operational tasks
  • Collaborate with the Operations Manager on priorities that support the smooth running and continued growth of the practice


Laundry Responsibilities

Laundry is a regular and important responsibility during every shift. This includes:

  • Collecting used sheets, towels, face-cradle covers, and other clinic linens (not exceptionally dirty, just needs washing between clients)
  • Sorting and starting laundry throughout the shift
  • Moving loads promptly between the washer and dryer
  • Communicating with the next team member when a load must be completed after a shift


Office Cleaning Responsibilities

Basic, organizational office cleaning is also a consistent part of the position. Responsibilities include:

  • Keeping the waiting room, front desk, hallways, and treatment spaces neat and welcoming
  • Sweeping, vacuuming, spot-cleaning, and handling other routine floor care
  • Emptying trash and replacing liners (no gross trash, mostly paper and cups)
  • Restocking paper products, cleaning supplies, and client-care items


These responsibilities are shared across the team, but the Client Experience Coordinator plays a central role in making sure they are completed consistently.


Weekly Responsibilities

  • Review inventory and identify supplies that need to be reordered or restocked
  • Restock cleaning, laundry, office, restroom, and client-care supplies
  • Complete assigned weekly administrative and operational responsibilities
  • Collaborate with the Operations Manager on changing clinic priorities

  • Able to balance friendliness with appropriate professional boundaries


Prior healthcare experience is not required.

Experience in customer service, hospitality, education, administration, housekeeping, wellness, nonprofit work, military life, Foreign Service life, or another people-facing environment can translate very well to this position.


Physical and Practical Expectations

Because this is an active, hands-on role, applicants should be comfortable:

  • Standing, walking, bending, and moving around the office throughout a shift
  • Carrying laundry and routine office supplies up and down stairs (approx 40lbs)
  • Moving between the front desk, treatment rooms, laundry area, restroom, and shared spaces
  • Using standard cleaning and laundry products
  • Completing cleaning and organizational tasks while remaining attentive to arriving clients, phone calls, and messages


A Note About Foreign Service Life

We understand that internationally mobile life can be transitional. PCS timelines shift, assignments change, families move quickly, and plans that once seemed long-term can change unexpectedly.

Naturally, we hope to find team members who will stay and grow with us. At the same time, we understand that Foreign Service families may not know exactly how long they will remain in the Washington area.


What matters most is that the person joining us is reliable, communicative, engaged, and genuinely invested in the role while they are here.
